WHAT IS IT ABOUT
The first schools have started to issue a digital, forgery-proof certificate to graduates in addition to the printed certificate. The graduates receive a digital certificate (pdf file) and the certificate of authenticity (pdf file). This makes the application process much easier for graduates, especially with regard to international applications. By default, the certificate of authenticity is issued in German. If you need an English or French version, you can contact us individually. Whichever language you choose is identical in terms of cost.
What is the technology behind it?
The technology behind the digital credentials is blockchain technology. The digital certificate receives a unique fingerprint, the so-called HASH code. This code, not the testimony, is stored in different blockchains. The original certificate remains with you, IPBee cannot view the contents of the certificates or draw any conclusions about personal data. Blockchains are the safest way to permanently secure data.
How do I check the authenticity of the certificate?
The Certificate of Authenticity shows how the authenticity of the certificate can be verified. There are several ways to verify the document, both on the IPBee website and completely independent of IPBee. The easiest way to check is to upload the certificate to our website. You get the result immediately, whether it is the original file or whether it has been modified.
Before you receive an offer from IPBee, the following steps should be taken:
In the “GDPR Agreement” tab, please download and read the GDPR Agreement, which is based on the EU General Data Protection Regulation. IPBee does not have access to personal data, but when working with a subcontractor, such as Allisa, personal data is stored and processed by the subcontractor. IPBee concludes corresponding order data processing contracts with its subcontractors so that all personal data is protected. Please fill out the GDPR contract and sign the document. Then please upload the scan (pdf file) of the signed contract in the upload area in the “GDPR contract” tab.
If you would like to place a logo of your institution on the certificate of authenticity, please upload an image file of your logo (e.g. PNG) in the upload area in the “Logo upload” tab. Your logo will appear next to the IPBee logo on the first page of the Certificate of Authenticity.
Now you’re almost there! Please contact Dr. Brautmeier (digitale-zeugnisse@ip-bee.de) to receive an offer. In this context, please be sure to state the number of certificates or other documents to be expected each year. After signing the offer, send Dr. Bridal Meier please send a scan of the signed copy.
If you use SchILD, you will then receive the login data for the Allisa software. If you do not use SchILD, we will discuss the implementation of the individual solution with you.
How does the interface or link to the SchILD software work?
The link from SchILD to the Allisa software is already set up and can be used immediately without any problems. If you use other software or another program, we will find an individual solution for you.
You can generate the certificate as a PDF file in SchILD and also put digital signatures and seals on it. The SchILD software already allows this option. You can see how this works and how the certificates are exported and imported in the following video. Add more people
A person has registered for your institution. Here you have the option of adding other people as contact persons. The login of the registered person remains. Newly added persons do not automatically receive their own login. Adding more people means that IPBee can turn to other contacts if the registered person is not available or if there are topic-specific queries for which a direct exchange is desired.
Terms and Conditions and Privacy Policy
When you registered, you already agreed to the IPBee data protection declaration. This data protection declaration refers to the personal data when registering for the internal area of IPBee. A separate GDPR agreement is required for the student data that is transmitted (see tab GDPR agreement). You can read the privacy policy for the internal IPBee area at any time here.

Download and upload of the GDPR contract
This tab is only of interest to you if you use the SchILD software or any other software that cannot be connected to the interface (API) directly to the IPBee servers. For example, if student data is transferred to Allisa, we need a signed GDPR contract.
The implementation of the digital, forgery-proof certificates is carried out by a subcontractor of IPBee (e.g. Allisa software) and we need a signed GDPR contract from you. This contract regulates that a subcontractor of IPBee (e.g. Allisa) may see and process personal data of your colleagues and your graduates. IPBee in turn has an order data processing contract with the respective subcontractor to ensure the protection of your personal data. IPBee itself does not gain insight into the personal data, only the subcontractor who stores and processes the data.
If you have exported your certificates via the SchILD software, the file names of the documents contain both the student names and the graduates’ dates of birth. The file names must be renamed so that the file names can be anonymized and that IPBee does not have any insight into personal data . Allisa can automatically change the file names so that instead of name and date of birth, the following is replaced: degree type, graduate ID number, school name and school number. After Allisa has renamed the files and automatically connected them to the IPBee software, Allisa can email all graduates the relevant certificate and certificate of authenticity.
In order to map this entire process, Allisa needs the personal student data (name, date of birth, ID number, email address, etc.). These are regulated in the GDPR contract.

Mailing to the graduates via our own mail server
If the e-mail with the certificate and the certificate of authenticity is to be sent via the school’s own e-mail server, we need special data from your school.
